Remote Executive Assistant - Global Operations

Our client is a rapidly growing international organization seeking a highly organized and proactive Remote Executive Assistant to provide comprehensive support to senior leadership. This is a fully remote position, offering the flexibility to work from anywhere within the US. The ideal candidate will be a master of communication, organization, and time management, with a keen eye for detail and the ability to anticipate needs. You will play a crucial role in facilitating the smooth operation of executive functions, ensuring seamless communication and efficient workflow across global teams. Responsibilities: Manage and maintain complex calendars, scheduling meetings and appointments across multiple time zones for executives. Coordinate domestic and international travel arrangements, including flights, accommodations, and itineraries, ensuring cost-effectiveness and adherence to company policy. Prepare and edit correspondence, communications, presentations, and other documents. Conduct research on various topics as requested by executives. Act as a liaison between executives and internal/external stakeholders, filtering communications and prioritizing requests. Manage and organize digital files and documentation for easy retrieval. Assist with the preparation of meeting agendas, take minutes, and track action items. Handle expense reporting and reconciliation for assigned executives. Anticipate the needs of executives and proactively address potential issues before they arise. Maintain a high level of confidentiality and discretion in all matters. Support special projects and initiatives as assigned. Facilitate seamless virtual meetings and communication platforms. Qualifications: Proven experience as an Executive Assistant, Virtual Assistant, or in a similar senior administrative role. Exceptional organizational and time-management skills, with the ability to multitask and prioritize effectively in a fast-paced remote environment. Excellent written and verbal communication skills, with a professional and courteous demeanor. Proficiency in G Suite (Gmail, Calendar, Docs, Sheets, Meet) and Microsoft Office Suite (Outlook, Word, Excel, PowerPoint). Experience with video conferencing tools (e.g., Zoom, Microsoft Teams). High level of discretion, confidentiality, and professionalism. Ability to work independently and take initiative, with a strong problem-solving aptitude. Tech-savvy and comfortable adapting to new software and digital tools. Experience supporting C-suite executives is a plus. A proactive approach and a commitment to delivering high-quality support.
