Pre-Litigation Case Management Assistant

We are seeking a highly organized and proactive Pre-Litigation Case Management Assistant to support our legal teams handling cases from client sign-up through demand preparation. The ideal candidate is bilingual in Spanish and English, detail-oriented, and experienced in client communication, case coordination, and legal administrative support. Responsibilities: Conduct client check-in calls and provide case status updates, with a strong focus on Spanish-speaking clients. Request, track, and follow up on medical records and billing documentation. Verify insurance information and assist with property damage coordination. Schedule medical treatment appointments and confirm client attendance. Maintain accurate Filevine data entry, case notes, and document organization. Collect sign-up documents and follow up with newly retained clients to ensure complete case intake. Support pre-litigation teams with administrative and case management tasks. Maintain professional, compassionate, and timely communication with clients and external parties.

Requirements

Fluent Spanish and English communication skills required. Strong organizational and multitasking abilities. Experience with Filevine or similar case management software preferred. Excellent client communication and customer service skills. High attention to detail and ability to manage deadlines. Ability to work independently in a remote environment. Professional handling of confidential and sensitive information. Experience in personal injury or legal case management preferred. Familiarity with pre-litigation processes in personal injury law. Experience coordinating medical records, insurance claims, and client intake.
