Part-Time Virtual Assistant — Notion-Based | Scheduling, Admin & Household Coordination

I'm a corporate media professional based in Atlanta, GA. I work a full-time role, have some freelance client work and recently started a creative writing brand simultaneously — so the small stuff piles up fast. I'm looking for a proactive, detail-oriented VA to help keep my life and work organized, with Notion as our primary operating system. This is a long-term, part-time role. I need someone reliable, communicative, and capable of taking ownership of a task from assignment to completion without constant hand-holding. What You'll Own •Calendar and scheduling — full ownership of my personal and logistics calendar in Google Calendar

  • Meal planning — weekly menu suggestions, grocery list building in Kroger/Publix apps, budget tracking
  • Household logistics — vendor coordination, service follow-ups, appointment scheduling
  • Media and PR coordination — confirmation emails, morning-of reminders, contact tracking
  • Freelance admin support — invoice tracking, client follow-up reminders, deadline visibility
  • Social media posting — Substack Blog and personal accounts (Instagram, Facebook, LinkedIn, Substack); template population and scheduling for my approval before anything goes live
  • Daily Notion updates — keeping our shared workspace current so I always know what's in queue, in progress, and done

What You Will NOT Be Doing

  • Writing original social media copy or creating content from scratch
  • Accessing my personal or work email inboxes directly
  • Making financial decisions or large purchases without explicit approval

Tools You Must Be Comfortable With Tool Purpose Notion Our primary operating system — task management, check-ins, weekly rhythm Google Calendar Scheduling, event creation, travel buffers Gmail (assistant account) All outbound communication on my behalf Canva Populating social media templates Social scheduler (TBD) Scheduling approved posts to Instagram, Facebook, LinkedIn, Substack LastPass Secure credential sharing for approved tools Hours + Pay Hours 5–10 hrs/week, with some weeks up to 15 during busy periods Schedule Flexible async; daily Notion check-in required by end of day Location Remote — U.S.-based preferred for time zone alignment What I'm Looking For

  • You've worked as a VA for at least 1 year
  • You're Notion-proficient — you can build and maintain databases, views, and pages that are appealing
  • You communicate proactively — you tell me when something is done, and you flag when something is blocked
  • You follow instructions precisely and don't need the same direction twice
  • You have experience with personal/household admin, not just business ops
