About the Role

Our client, a renowned luxury event planning firm based in Los Angeles, California , is seeking a highly creative and meticulously organized Executive Event Planner. This role is central to designing and executing high-profile events, from intimate celebrity gatherings to large-scale corporate functions and exclusive weddings. The successful candidate will be responsible for managing all aspects of event production, ensuring seamless execution from concept development to post-event analysis. This position demands a proactive, detail-oriented individual with exceptional vendor management skills and a keen eye for aesthetics and logistics. You will be at the forefront of delivering unique and unforgettable experiences for a discerning clientele in the vibrant Los Angeles market.

Key Responsibilities

Conceptualize, plan, and execute a diverse range of events, ensuring they align with client objectives and brand standards. Manage event budgets meticulously, tracking expenditures and identifying cost-saving opportunities without compromising quality. Source, negotiate with, and manage relationships with a wide array of vendors, including caterers, florists, entertainment, audiovisual technicians, and venues. Develop detailed event timelines and project plans, ensuring all milestones are met. Oversee on-site event execution, managing logistics, staff, and troubleshooting any issues that arise. Conduct post-event evaluations, gathering feedback and preparing comprehensive reports for clients and internal stakeholders. Stay abreast of current event trends, innovative ideas, and emerging technologies within the industry. Collaborate with marketing and sales teams to develop event strategies and proposals. Ensure all events comply with safety regulations and obtain necessary permits and licenses. Maintain a high level of client satisfaction through excellent communication and service delivery.

Requirements

Minimum of 5 years of progressive experience in event planning and management, preferably within an agency or high-end hospitality setting. Demonstrated success in managing complex events from conception to completion. Proven ability to manage multiple projects simultaneously in a fast-paced environment. Excellent negotiation, communication, and interpersonal skills. Strong financial acumen and budget management capabilities. Proficiency in event management software and standard office suites. A creative flair combined with strong logistical and problem-solving skills. Ability to work under pressure and meet tight deadlines. Must be willing to travel and work irregular hours, including evenings and weekends, as event schedules dictate. A portfolio showcasing a diverse range of successful events is highly desirable. Deep understanding of the Los Angeles event landscape and its key players.
