Profile Requirements: Executive Assistant Experience: Minimum 3+ years of experience supporting executives, business owners, entrepreneurs, or senior management. Exceptional Organization Skills: Proven ability to manage multiple priorities, deadlines, and projects simultaneously with strong attention to detail. Communication Skills: Excellent written and verbal English communication skills with a professional and polished demeanor. Technology Proficiency: Strong experience with Microsoft Office Suite, Google Workspace, cloud-based collaboration tools, and project management platforms. Independent Problem Solving: Ability to anticipate needs, identify solutions, and operate with minimal supervision. Confidentiality & Professionalism: Demonstrated ability to handle sensitive information with discretion and maintain a high level of professionalism.

Preferred Qualifications

Experience supporting executives in media, publishing, journalism, automotive, travel, marketing, or content-driven businesses. Familiarity with editorial workflows, content production schedules, and digital publishing environments. Experience coordinating business travel, events, press trips, or industry conferences. Knowledge of social media platforms and basic content management systems. Experience working remotely with distributed teams and international stakeholders. Interest in automobiles, road trips, travel, outdoor lifestyle, or adventure-focused content. Key Performance Indicators (KPIs) Calendar accuracy and scheduling efficiency. Timely completion of assigned administrative and operational tasks. Successful coordination of travel and event logistics. Meeting project deadlines and follow-up commitments. Quality and accuracy of documentation, research, and reporting. Core responsibilities: Executive Calendar Management: Coordinate and manage calendars, appointments, meetings, deadlines, and travel schedules across multiple projects and stakeholders. Administrative Support: Handle email management, document preparation, data entry, file organization, meeting coordination, and general administrative tasks. Travel & Logistics Coordination: Research and arrange flights, accommodations, vehicle bookings, media events, press launches, and road trip logistics. Project Coordination: Track ongoing editorial, content, marketing, and partnership projects to ensure deadlines and deliverables are met. Communication Management: Serve as a point of contact for partners, advertisers, manufacturers, tourism organizations, PR agencies, and other external contacts. Research & Information Gathering: Conduct online research related to automotive brands, travel destinations, media opportunities, industry trends, events, and business initiatives.
